The benefits of an SaaS email archiving |
The idea of paying someone else to do something you could do yourself doesn't work with some businesses, and sometimes for good reason. If an organization is big enough or established enough to have its own IT department who can handle the extra work involved in email archive compliance then it may be able to carry out the work in-house.
For other businesses like start-ups, new companies, small companies or not particularly cash or asset rich yet it can be a different story. Not all organizations have the time, space or money to invest in trying to integrate a new system into the fold. A SaaS email archiving solution is designed with these companies in mind.
It works like this. There are many vendors out there like Archive Compliance who offer a straightforward service where they provide the complete email backup system for a business. It is a hosted system, meaning all the necessary hardware and support infrastructure is at their own site. A customer pays per seat for x amount of mailboxes or a package of many seats. The vendor then connects to the client mail server and installs a link between it and the archive system. The mail server is configured with the solution and the vendor automatically receives copies of all mail in and out of the customers site. This method of billing and administration means the solution is pretty fluid. It can grown as the company grows, and a customer only ever pays for what they need.
These mails are then virus checked, indexed then stored in a secure storage facility until you need them or the 'sell by date' where they will be deleted. The vendor then keeps their own systems running, ensuring the latest safeguards are in place like firewalls, and anti-virus. There will be a second secure facility with a complete backup of all the vendors data in case of emergency.
The customer can access their stored mail easily either through a web browser or a custom application. The web browser allows access from anywhere in the world, at any time. Only authenticated users can access this portal, adding an extra layer of security and preventing tampering from within an organization.
The vendors do what they do for a living. Meaning they are generally experts in their field. They will know and ensure any customer is fully compliant with the prevailing laws governing their industry as well as any state or federal laws applicable. They offer guarantees that compliance will be met and assist with any and all audit or e-discovery requests as necessary.
This provides the customer with the freedom and capacity to concentrate on growing their own business while still fulfilling their obligations to the government and other regulatory bodies. SaaS is a very efficient way of doing business, and one that is growing in popularity, for email and many other applications. It is forecast that in the future, the majority of major software packages will be available in this manner.
