Outsourcing and Email Archiving

The word outsourcing used to be synonymous with offshoring.  In fact the correlation is still quite strong.  Offshoring was where organizations would outsource some of their functions to India or other parts of Asia where labor and running costs are much cheaper.  Many people say you get what you pay for, and while this is true in some cases, it isn't in all of them.

Outsourcing in this context is employing a third party vendor to take care of a specific function for you.  In the realm of email archiving the laws on privacy and information security are so tight, that an offshore variety of outsourcing simply wouldn't do.  There are many companies in the US who offer the same kind of service that fully comply with all the prevailing laws.

With a subject as regulated, complicated and generally convoluted as email compliance it is often better, especially for smaller companies to outsource.  The vendor must be chosen with care and assurances and proof must be given that all prevalent laws are complied with.  Passing this burden off to a supplier is often the cheapest and simplest way to work.  Not every business has the luxury of an existing IT department or robust infrastructure needed to support email archiving and compliance.

A decision whether to contract the work out or to do it in house is the same as any other business decision.  If you don't have the manpower, skills, infrastructure or budget to do it yourself, then it makes sense to get someone in to do it.  A business can then ensure they are compliant without massive upheavals or upfront costs.
